How to: Build WEM

'Build WEM' is designed to speed up the process of providing Work and Expression data for a resource, by copying Manifestation data to pre-assigned elements in Work and Expression records.

For Build WEM to function, you must enter data in this prescribed order: start with your Manifestation data, then give any Item data, then provide Work data, then finish up with Expression data.

Enter Manifestation Data

  • Open a new Manifestation record:
    • File | New Record for … | Manifestation
  • Choose an appropriate template (e.g., 'TMQ.Book.Pub.Simple')
  • Fill in attributes for:
    • identifying the manifestation
    • describing carriers for the manifestation
    • providing acquisition and access information for the manifestation (if necessary)
  • Go to the Metadata about Manifestation Data section
    • Click on the text box for 'Composite Key' , or <Enter> past it, to autofill that data (needed for linking other entity records to this Manifestation record)
  • Add a link for entities that are related to the Manifestation:
    • Producer/Publisher/Distributor/Manufacturer/Other PFC/Related Manifestation (check the appropriate relationship sub-elements, if any are provided under a relationship element, to see whether you have an entity that meets the criteria for relationship at this level)

Enter Item Data

  • In the Manifestation record:
    • Right-click or <F5> on the Exemplar of Manifestation text box
      • Click on Create new Item
      • Choose a template (e.g., 'TMQ.Book.Simple')
      • Fill out Item data (usually only your circulation barcode number, as Identifier for the Item)
      • Click on Composite Key box, or <Enter> past it, to autofill the Identifier for the Item as the Composite Key for the Item (needed for linking other entity records to this Item record)
      • Add a link to any entities that are related to the Item:
        • Owner/Custodian/Other PFC/Related Item (check the appropriate relationship sub-elements, if any are provided under a relationship element to see whether you have an entity that meets the criteria for relationship at this level)
      • Save <Ctrl+S>
      • Double-click on the Manifestation Exemplified link to return to Manifestation

Enter Work Data

  • In the Manifestation record:
    • Right-click or <F5> on the Expression Manifested text box
    • Click on Create new Work
    • Choose a template (e.g., 'TMQ.aSimple')
    • Fill in Work data
      • RIMMF will autofill the following in the Work record:
        • Preferred Title for the Work (from Manifestation: Title Proper)–remove an initial article, if present; you might need to change this title to a Variant Title for the Work and provide another title as the preferred title
        • Variant Title for the Work (from Manifestation: Variant Title)–remove an initial article, if present
        • Date of Work (from Manifestation: Date of Production or Date of Publication)–you might need to change this to another date, to reflect the actual date of the work, rather than the date of a later manifestation of the work
          • If Date of Work is autofilled with more than a year only and/or a non-Arabic number, change it to a year only in Arabic; remove square brackets and question marks if present
        • Source Consulted (from Manifestation: Title Proper and Date of Production/Publication)
      • Fill in additional attributes for:
        • identifying the work
        • describing content of the work
      • Add a link to Creator, if applicable
        • don’t forget to use a more specific relationship sub-element for Creator, if possible
        • make sure you enter the first or most prominently named creator first, so that name will be used as the name portion of the Authorized Access Point for the work
      • Go to Metadata about Work data section
        • Click on Authorized Access Point box, or <Enter> past it, to autofill that data, as per 6.27.1 (needed for linking other entity records to this Manifestation record); notice that Variant Access Point data is also autofilled, as per 6.27.4
        • Fill in Status of Identification
      • Add a link to entities that are related to the Work:
        • Additional Creator/Other Person, Family, Corporate Body Associated with a Work/ Related Work

Enter Expression Data

  • In the Work record:
    • Right-click or <F5> on the Expression of Work text box
    • Click on Create new Expression
      • Choose a template (e.g., 'TMQ.Text.Eng'
      • Fill in Expression data:
        • Depending on the template that you chose, some data might already be provided (as 'constant data')
        • RIMMF will autofill the following in the Expression record:
          • Date of Expression (from Work: Date of Work)–you might need to change this to another date, to reflect the fact that you are describing a later expression
          • Authorized Access Point (from Work: Authorized Access Point), as per 6.27.3
          • Source Consulted (from Manifestation: Title Proper and Date of Production/Publication)
        • Fill in attributes for:
          • identifying the expression
          • describing content of the expression
        • Go to Metadata about Expression data section
          • if you flagged any additional identifying elements of the Expression to be added to the Work elements that RIMMF already supplied, then double-click on the Authorized Access Point for the Expression to autofill those additional Expression elements (needed for making the Expression AAP unique)
          • Fill in Status of Identification
        • Add a link to entities that are related to the Expression:
          • Work Expressed is already back-linked by RIMMF
          • Manifestation of Expression is already back-linked by RIMMF
          • Add any useful links for Contributor / Related Expression relationships
        • Save <Ctrl+S> the Expression record and return to Work record
          • Save <Ctrl+S> the Work record
          • View R-Tree, starting from Work, to check for missing relationships and/or relationship elements that are not specific enough (e.g., should Creator be Author?)
          • Save <Ctrl+S> and close all open records
          • Done
